Volunteer for TRA
Since 1956, TRA has been supported and operated solely by volunteers, everything from docenting and hanging shows to gardening and gallery upkeep. As we grow our needs are also increasing.
Our immediate needs include:
Demo/ Workshop Liaison
This role picks up once the Demo/Workshops Scheduler has obtained contracts and information/ images from the demo/workshop artist and acts as the liaison with the artist and students as appropriate until the demo/ workshop has occurred.
Understand AV set up but not be responsible for AV set up
Workshops
Obtain any follow up information from artist to be provided to the students
Obtain listings of students and contact information and periodically send reminders, including the week before the event (when to arrive, where to park, supplies, bring your lunch)
Obtain information on set up needed for workshop and determine what will be needed to set up space, as well as answer any questions the artist may have
Buy coffee and water if needed and coffee cake for the workshop
Arrive before the workshop to meet the workshop artist, set up coffee, check in students, follow up with missing students, etc. and communicate with Treasurer the final roster so Treasurer can pay workshop artist
Take pictures during workshop
Make sure that there is a student in charge during workshop (identify a TRA member to serve in this role)
Demos
Obtain information on set up needed for demonstration and determine what will be needed to set up space, as well as answer any questions the artist may have
Buy refreshments if needed for demonstration
Arrange for the demo set up, take down tables, etc.
Arrive before the demo to meet the artist, set up reception
Take pictures during demo
Deposits
Obtain and summarize all deposits on an excel spreadsheet
Restrictively endorse all deposits
Take deposits to bank
Email deposits to Treasurer/ assistant accountant, and provide deposit receipt to Treasurer
AV
Maintain all AV equipment
Understand all AV set up
Find out demo/workshop needs from Demo/Workshop liaison and set up AV for demo/workshop
Volunteer Manager
Maintain volunteer information (may be on membership database)
Reach out to potential volunteers when volunteer needs arise (receptions, clean up days, exhibit hanging, etc.)
Docents
Sit at the gallery from noon to 3 — volunteer for a specific day of the week, any day but Monday, greeting visitors, answering questions, etc.
Treasurer
Maintain books and records on QuickBooks
Understand Cash flow processes and interaction of systems (square, stripe)
Summarize Stripe payouts on Squarespace and any Squareup payouts and related accounting and provide to assistant treasurer to enter on quickbooks
Write checks and enter into QuickBooks
Reconcile bank account
Prepare Financial statements
Prepare budget
Some of our general needs include:
Docenting the gallery
Assisting with our social media platforms and promotional efforts
Cleaning and organizing the gallery
Assisting on exhibits, including exhibit hanging and planning receptions, particularly with our major exhibits, such as Bay Area and Rembrandt Youth Art Exhibit
Set up for receptions
Special projects
Serving on a committee (hospitality, maintenance, historian, etc)
